Securepost LTD – Terms & Conditions of Service

1. Important Information & Compliance

All clients must provide valid, up-to-date photo ID and proof of address for every name on the account, in compliance with Anti-Money Laundering Regulations (AML).

Your account will not be active until:
- We have received full payment for the services purchased.
- Valid, up-to-date ID is held for every listed name.
If ID is missing, expired or inadequate, or fees are unpaid, we may suspend or terminate services immediately. We will hold mail for up to 2 weeks free of charge to allow you to resolve ID or payment issues. After this, mail will be returned to sender, securely destroyed, or disposed of as we see fit.
 
We reserve the right to charge reasonable disposal fees for uncollected or abandoned items.

2. Permitted Use of Address

Our addresses must not be used for:
- Registered Business Addresses
- Driving licence registrations or vehicle registrations.
- Electoral registration or MLR registration.
- Any illegal or fraudulent activity.
 
Breaches will result in immediate termination and may be reported to the relevant authorities.

3. Service Provision

We provide mailing address, mail forwarding, scanning, and storage services under these terms:
- All forwarding and scanning fees must be paid in advance; no credit will be given for forwarding services.
- Mail forwarding is charged at Royal Mail rate x2 plus packaging costs.
- Courier forwarding incurs a £19.99 admin fee plus the courier’s charge.
- If you book your own courier, a £9.99 handling fee per item applies.
- Storage fees apply for items held beyond our free holding period (2 weeks for letters, 24 hours for parcels).
- Mail scanning is charged at 10p per side.
- Mail disposal for mail that is not forwarded or returned to sender are charged at 25p per item.
 
Fees and charges may be updated from time to time. Any changes will be posted on our website and will apply to all clients.

4. Registered Office & Director’s Service Address

- We do not offer a registered business address service. 
- Using our address without permission or unpaid constitutes misuse and may result in reporting to Companies House or other authorities.

5. Mail & Parcel Handling

- We may open and inspect mail or parcels if required by law or to check for prohibited items, customs declarations, or ownership.
- You must notify us in advance for large or heavy parcels. We reserve the right to refuse items exceeding our limits.
- Mail or parcels will be held for up to 2 weeks free of charge. After this, storage fees apply and items may be returned to sender, securely destroyed, or disposed of.
Goods are held entirely at your risk. We strongly recommend you arrange adequate insurance for all parcels or mail being forwarded. We do not provide insurance cover by default.

6. Misuse & Prohibited Goods
You agree not to use our services for any prohibited or illegal goods, including (but not limited to): medicines, aerosols, perfumes, controlled drugs, or lithium batteries not properly packaged.
 
Any suspicious or prohibited items may be confiscated, reported to authorities, and destroyed.

7. Unpaid Invoices & Debt Recovery

- Invoices unpaid after 60 days may be referred to debt collection. You will be liable for debt collection fees, statutory interest, and administrative charges.
- If an account is suspended for non-payment, mail will not be forwarded until payment is cleared in full.
- If you initiate a payment charge-back, a minimum £50 admin fee or 1 hour of admin time will be charged, plus any third-party costs. Your account will be suspended immediately.

8. Refunds & Cancellations

- B2B (business) you may cancel unused services within 14 days for a full refund. If any part of the service has been used during the cooling-off period, only a partial refund may be given to cover costs.
- B2C (individuals): you may cancel unused services within 14 days for a full refund. If any part of the service has been used during the cooling-off period, only a partial refund may be given to cover costs.
- No pro-rata refunds for early termination of annual or fixed-term services.

9. Limitation of Liability & Indemnity

- Use of our services is entirely at your own risk. Securepost LTD accepts no liability for losses, damages, or delays howsoever caused.
- We disclaim all express or implied warranties, including merchantability or fitness for purpose.
- Clients must insure valuable items in transit; we are not responsible for uninsured losses.
- You agree to indemnify us against any claims, losses, or damages arising from your breach of these Terms & Conditions.

10. Privacy & Data Protection

- We respect your privacy and comply with UK GDPR and AML rules. Data is retained for 5 years after account closure.
- We do not sell or share your data except where legally required (e.g. AML checks or debt recovery).

11. Changes to Terms & Conditions

- We may update these Terms & Conditions at any time. Continued use of our services after changes are posted means you accept the new terms.
- Governing law: England & Wales.

12. General

- Failure to enforce any part of these Terms does not waive our right to enforce it later.
- If any term is found invalid, the rest remain valid.
- Copyright: All website and service content is owned by Securepost LTD.
 
All abandoned or unclaimed mail may be disposed of, returned to sender, or destroyed at our discretion after the holding period.

At SecurePost, we are committed to providing reliable and professional virtual mailing services. To ensure clarity and fairness for all customers, please review our refund policy below.

1. Subscriptions

- B2B (business) you may cancel unused services within 14 days for a full refund. If any part of the service has been used during the cooling-off period, only a partial refund may be given to cover costs.

2. Top-Ups

- All top-up purchases, whether used or unused (including for services such as mail forwarding, scanning, holding or shredding), are non-refundable.
- Top-ups are credited to your account for use on eligible services and do not expire unless otherwise stated.
- Please ensure you review your top-up needs carefully before purchasing.

3. Exceptional Circumstances

- Refunds may only be considered in exceptional cases where an error has occurred on our part (e.g. duplicate billing or technical faults). Any such request must be submitted in writing within 14 days of the transaction.

4. Subscription Cancelation 

- Subscriptions can be cancelled via the members area portal or you may contact us directly to confirm a cancellation.

Securepost LTD – Fair Use Policy (FUP)
 
Purpose:

This Fair Use Policy ensures that all clients use our services reasonably and fairly, so we can provide a reliable, efficient service for everyone.

1. ID & Compliance
- All clients must provide valid, up-to-date photo ID and proof of address.
- You must keep your ID updated annually or when requested.
- Failure to provide valid ID may result in suspension of services.

2. Reasonable Volumes
- Our standard mail handling is for normal business and personal mail only.
- We do not allow excessive mail volumes that would cause unreasonable burden or storage use.
- Large or heavy parcels must be notified to us in advance — we reserve the right to refuse items that exceed our stated size or weight limits.

3. Storage Limits
- Letters will be held free of charge for up to 2 weeks, unless you have arranged extended storage (charges apply).
- Parcels are expected to be forwarded the next working day. If they cannot be forwarded immediately (e.g. waiting for payment), storage fees will apply after 24 hours.
- Unclaimed or abandoned items may be disposed of, returned to sender, or securely destroyed after the holding period.

4. Mail Forwarding & Payments
- Forwarding fees must be paid in advance; we do not offer credit for postage or handling.
- We do not forward mail for accounts with unpaid invoices or missing ID.
- Charges for forwarding, scanning, storage or handling are clearly displayed in our Terms & Conditions and must be paid promptly.

5. Prohibited Uses
- You must not use our address for driving licence registration, vehicle registration, MLR registration, electoral registration or any other purpose prohibited in our Terms & Conditions.
- Any use of our address for illegal or fraudulent activity is strictly forbidden and will be reported to the relevant authorities.

6. Misuse & Excessive Use
- Any misuse, excessive use or repeated breaches of this Fair Use Policy may result in immediate suspension or termination of your service, with no refund of fees already paid.
- We reserve the right to charge reasonable disposal, handling, or administrative fees for any misuse.

7. Updates
- This Fair Use Policy may be updated from time to time. Continued use of our services means you accept any changes.
